PDF Basics: Viewing, printing and editing

Maybe you're new to PDF, and you want to know what all the fuss is about. What is it, and how do I use it? At it's very simplest level, PDF is the electronic equivalent of paper -- in fact, it has previously been referred to as 'ePaper'. PDF documents follow the page metaphor: it is to HTML as is, say, a book to a scroll. Because of this, it's easy to print and comfortable to read on-screen. PDF is also cross-platform with free viewers available for Windows, Macintosh and UNIX machines. In other words, it's a great file for the electronic exchange of print-ready documents. In this column, I'll briefly go over some of the basics: viewing, editing and printing PDFs...

Viewing PDF files is easy -- just download a copy of the free Adobe Reader and Bob's your uncle. Since PDF is designed to be faithful to a printed original, editing has deliberately been limited, so major changes should be made in the source document before printing to PDF. If you do need to make small changes or would like to mark up a document, you'll need to use either the full version of Acrobat or a lower-end 3rd party alternative such as Infix PDF Editor. While these lack the full functionality of Acrobat, they are also significantly cheaper. As always, you will need to make the decision based on required functionality versus price.

As I mentioned earlier, PDFs are designed to be easy to print. As a result, you can easily obtain a hard copy of a PDF document simply by hitting the 'Print' button in any PDF viewing application. Assuming that the page size and other settings are configured correctly, you shouldn't have any problems. It should be noted that I speak of simple office printing, so users in a production environment will have more involved procedures.
