Whenever people talk about the advantages of using PDF over paper archives, one thing really stands out: searchability. There are a lot of things you need to consider, such as how the documents were created -- were they scanned, converted from a word processing program such as Word or an imaging program such as PhotoShop?

The first step is the preparation of the documents to be searched. This includes the application of metadata (i.e. data about a PDF such as title, keywords etc.,) OCR for scanned documents, and optionally, the creation of a search index. The good news is that there are tools available to help with each phase of the search process. ARTS PDF Workshop allows users to build and manage local PDF archives, along with metadata via an Excel spreadsheet interface, and indexes can be generated using Acrobat Professional or a 3rd party tool such as ARTS PDF Search. In the case of ARTS PDF Search, the index can even be used to make your PDF archive searchable over the web! If you need to OCR scanned documents in any real volume, the AdLib OCR add on for AdLib eXpress could be just what you need.
